FREQUENTLY ASKED QUESTIONS

Every project begins with questions.

Starting a documentation project often feels a little different to hiring other professional services. You might know you have pages of notes that need bringing together, or years of knowledge that exists only in conversations, but not know exactly what you need or where to begin. That’s perfectly okay.

Many of the projects we work on start with a conversation rather than a clear brief. These are the questions we’re asked most often, and we hope they give you a sense of how we work.

COMMON QUESTIONS

Answers to the things people ask before we begin.

Select a question to read more. Still not sure? A conversation is always the best place to start.

We don't really know what we need yet. Can you still help?

Absolutely.

In fact, that’s how many of our projects begin. Clients often come to us knowing they have a challenge rather than a solution. They might have workshop notes that need organising, research that needs bringing together or years of business knowledge that has never been documented. Sometimes they simply know something feels scattered but can’t quite explain why.

Our role is to listen first. We’ll ask questions, understand what you’re trying to achieve and help identify the best way forward together. You don’t need to arrive with a detailed brief or a list of deliverables.

What kinds of information can you work from?

Almost anything.

We’ve worked from handwritten notebooks, workshop butcher’s paper, meeting minutes, voice recordings, research papers, spreadsheets, email conversations, photographs of whiteboards, existing reports and documents that have been sitting unfinished for years.

You don’t need to organise everything before sending it to us. We’ll help make sense of the information, identify what’s important and develop a clear structure before the writing begins.

Can you work with documents we've already started?

Yes.

Some clients engage us at the beginning of a project, while others have already completed a significant amount of work before reaching out. Whether you’ve written the first draft of a strategic plan, prepared a report that needs refining or developed documentation that no longer reflects the way your organisation works, we’re happy to meet you wherever you are.

Sometimes a fresh perspective is all that’s needed to transform a document from something informative into something genuinely engaging and useful.

Will the document still sound like us?

It should.

One of the most important parts of our process is understanding your organisation, your audience and the way you naturally communicate. Every document is written to reflect your voice rather than ours because your organisation should recognise itself in the finished work.

Our goal isn’t to replace your voice. It’s to help bring clarity and structure to it.

How involved do we need to be?

We see every piece of work as a collaboration.

Some projects involve workshops, interviews and regular review sessions, while others require very little of your time once we’ve gathered the information we need. Throughout the process you’ll have opportunities to review drafts, provide feedback and make sure the final document accurately reflects your organisation and objectives.

We’ll guide the process, but you’ll always remain closely connected to the work being created.

Can you work with confidential information?

Absolutely.

Many of the documents we develop contain commercially sensitive information, internal processes or confidential research. Respecting that trust is an important part of the way we work.

If your organisation requires a confidentiality or non-disclosure agreement before sharing information, we’re more than happy to put those arrangements in place.

How long does a project usually take?

Every project is different because every organisation is different.

The timeline depends on the size of the project, the information available and how many people are involved in reviewing the work. A workshop summary might be completed within days, while a strategic plan or knowledge capture project may take several weeks.

We’ll discuss timeframes with you at the beginning so you know exactly what to expect, and we’ll keep you informed throughout.

How is pricing structured?

Most of our work is quoted on a project basis.

Once we’ve had an opportunity to understand your project, we’ll provide a clear proposal outlining the scope of work, deliverables, timeframe and investment. That way you know exactly what’s included before the project begins.

If you’re looking for ongoing support, we also offer tailored retainer arrangements for organisations that regularly require documentation, reporting or strategic communication services.

Do you only work with organisations in Western Australia?

Not at all.

While we’re proudly based in Western Australia, we work with clients across Australia and can collaborate remotely through online meetings, workshops and digital collaboration tools.

Many of the projects we deliver never require us to be in the same room, because the process has been designed to work just as effectively online.

What happens after I get in touch?

Everything starts with a conversation.

We’ll spend some time learning about your organisation, the work you’ve already done and what you’re hoping to achieve. From there, we’ll talk through the information you already have, identify any gaps and recommend an approach that feels practical and achievable.

There’s no expectation that you’ll have everything organised before reaching out. That’s often the very reason people contact us in the first place.

STILL HAVE A QUESTION?

Sometimes the best place to start isn’t with the answers. It’s with the right questions.

Whether you’re working with a notebook full of ideas, a folder of unfinished documents or simply a sense that something needs bringing together, we’re always happy to explore what might be possible.
